Who it's for

Anyone designing or reworking an outbound sequence.

Why it matters

Sequences are often written one email at a time in a sending tool, with no view of the whole. That makes it easy to end up with five emails and no calls, steps bunched in the first week, or a cadence that nobody has time to follow through. Planning every step on one sheet shows the shape before you launch.

The workload view matters most for small teams. Calls and LinkedIn actions are manual, so a sequence that looks reasonable for one contact can mean dozens of calls a day at full volume. Seeing weekly touches next to your start rate helps you design a sequence your team can actually run every week.

How to use it

  1. 1Start from the example seven-step sequence on the Sequence tab and adjust the day, channel and purpose of each step for your buyers.
  2. 2Give every step one clear purpose, such as a new angle or a useful resource, and add template names or notes in the last column.
  3. 3Check the summary for total steps, sequence length in days and the split between email, LinkedIn, calls and other channels.
  4. 4Enter how many new contacts you start each week to see steady-state touches, calls and LinkedIn actions, then compare them with your team's time.
  5. 5Adjust steps or weekly volume until the workload fits, remembering that replies and opt-outs lower the real number below the estimate.

Outbound Sequence Builder: FAQ

How many steps should an outbound sequence have?
There is no single right number. Many B2B sequences use somewhere between five and ten steps over two to four weeks, mixing email, LinkedIn and calls. Each step should add something new rather than repeat a bump. Test against your own buyers and watch opt-outs and replies before adding more steps.
What is a multichannel outbound sequence?
A multichannel sequence combines several channels, usually email, LinkedIn and phone, in one planned order. Each touch supports the others, for example a call that references an earlier email. It gives buyers more than one way to respond and helps you reach people who rarely read cold email.
How far apart should sequence steps be?
Steps are often a few days apart early on, with longer gaps later, ending around day 14 to 21. Avoid several touches in the same day on different channels. Leave enough space that each message feels considered, and pause the sequence as soon as a contact replies.
