Who it's for
Teams scaling cold email without burning their domains.
Why it matters
Teams scaling cold email often push more volume through the inboxes they already have, then watch placement drop. Spreading volume across enough inboxes and domains keeps each one at a conservative daily level. Doing the math before you buy domains tells you what setup your target volume really requires.
Timing matters too. New domains and inboxes need warming up before cold sending, so you have to know your capacity weeks in advance. A clear calculation with a safety buffer also helps when you plan growth, pause an inbox that is struggling, or explain to a cofounder why sending infrastructure costs what it does.
How to use it
- 1On the Planner tab, enter the new contacts you want to reach each month and the number of email steps in your sequence, counting email only.
- 2Set a conservative daily cold email limit per inbox after checking your email provider's current limits, and enter your sending days per month.
- 3Choose how many inboxes you will run on each domain and a safety buffer for warmup, pauses and growth.
- 4Read the results for monthly emails, inboxes and domains needed, and the emails per inbox per day that your setup produces.
- 5Order and warm up any extra domains weeks before you need them, and recheck the plan whenever your monthly contact volume changes.

Cold Email Inbox Capacity Planner: FAQ
- How many cold emails can you send per inbox per day?
- It depends on your provider, domain age, warmup and list quality, and guidance changes over time. Many teams keep cold volume per inbox deliberately low and spread it across several inboxes. Check your provider's current limits and, when unsure, set a lower number and increase it slowly.
- How many email domains do I need for cold email?
- Divide the number of inboxes you need by the inboxes you plan to run per domain, then round up. Inboxes needed comes from monthly email volume divided by each inbox's monthly capacity, plus a buffer. Using several secondary domains limits the impact if one runs into deliverability problems.
- Should you send cold email from your main domain?
- Many teams avoid it and use separate secondary domains for cold outreach, so any deliverability issues do not affect the main domain used for customers, invoices and hiring. Whatever you choose, set up authentication, warm up new domains before sending, and keep lists clean and relevant.
